How this has to be staffed

The cadence collides by design — most of these boards meet on the same days.

Every month needs four recorders on one day, not one recorder on four days

On the second Wednesday, Shafter–Wasco (9:00 AM, Wasco), Semitropic (12:30 PM, Wasco), Central Kings (1:00 PM, Selma) and Chowchilla (1:30 PM, Chowchilla) all meet. Selma and Chowchilla are roughly an hour apart and start thirty minutes apart, so no one person can cover both.

On the second Thursday, Pixley (9:00 AM, Tipton), Delano-Earlimart (4:00 PM, Delano) and Fresno ID (Fresno) meet. Tipton and Delano are far enough apart in time that one recorder could take both, but Fresno needs its own.

Bakersfield corridor

Wasco, Shafter, Delano, Tipton, Bakersfield. The Robert Half Bakersfield branch covers most of the monthly load.

Fresno corridor

Selma, Fresno. Fresno ID hosts both its own board and North Kings GSA at 2907 S Maple Ave.

Madera County

Chowchilla only. Separate sourcing — it collides with the Selma meeting each month.

Sonoma County

Santa Rosa Plain GSA, quarterly. Next is 8 October — the only agency outside the Valley.

How a meeting gets covered

Four steps with an owner for each, so nothing waits on an email.

1 week out — Robert Half
Open Confirm agenda on the meeting row. If the date or time moved, or the meeting is cancelled, tell WaterOne before staffing.
3 days out — Robert Half
Assign the recorder and send them the brief. Open the meeting's Brief and print or forward it — nothing to request.
Day of — Recorder
Arrive 15 minutes early, record the full meeting on a phone, stay until adjournment.
Same day — Recorder
Upload the file and quote the assignment reference from the top of the brief so it lands against the right meeting.

Two entries were corrected against the agencies' own websites

North Kings GSA was listed as third Tuesday in Bakersfield. It actually meets the fourth Thursday at 6:00 PM at Fresno Irrigation District, 2907 S Maple Ave, Fresno. Dates below are rebuilt accordingly. Chowchilla Water District carried Central Kings' Selma address; the correct location is 327 South Chowchilla Blvd, Chowchilla.

What the assignment involves

Same for both programs. One meeting, one recorder. No writing, no summarizing, no speaking on WaterOne's behalf.

  1. Arrive fifteen minutes early and sign in if asked

    These are open public meetings; anyone may attend. If someone asks who you are, the answer is that you're taking notes for WaterOne.

  2. Record the whole meeting on a phone

    Voice memo on the table, Do Not Disturb on. Meetings usually run one to two hours, sometimes longer — there's no hard stop, so keep recording until adjournment.

  3. Sit through it without disrupting it

    Pay attention, stay for the full session, and don't participate. Public comment is not part of the assignment.

  4. Upload the same day and confirm with the coordinator

    The upload link comes with each assignment. Confirm receipt so we know the meeting is captured. A recording upload built into this page is the next thing being added.
